Terms and Conditions of Hire – Fleur Wedding and Events

1. Confirmation of Bookings
– Tentative bookings are held for up to 3 days. After this period, Fleur Wedding and Events reserves the right to release the booking.
– A non-refundable deposit of $2000 is required to secure the date , followed by another $2000 in 30 days and balance 10 days before the event  of the total payment is required to confirm the booking, and a valid credit card must be provided for our records.
– Your event date is only reserved once the deposit is paid. By paying the deposit, you agree to the terms and conditions outlined below.

2. Security
– Security personnel are required for certain events, especially to monitor guest behavior and venue entry.
– Security guards will be arranged by Fleur Wedding and Events at a ratio of one guard per 150 guests. This is subject to the venue’s discretion and will be discussed during booking.

3. Service of Alcohol
– A minimum of two service staff with RSA (Responsible Service of Alcohol) accreditation is required if alcohol is to be served.
– The venue reserves the right to refuse service of alcohol to any guests deemed intoxicated or disruptive.

4. Public Liability Insurance
– All suppliers and external vendors must provide a copy of their Public Liability Insurance before arriving on-site. Suppliers without appropriate insurance may not be allowed to operate at the venue.

5. Catering
– The setup and clearing of all cutlery, crockery, and glassware is the responsibility of the client or their chosen caterer.
– Failure to clean the venue or remove catering materials may incur additional cleaning fees charged to the client.
– All external caterers must hold the relevant food handling certification and adhere to hygiene and safety standards.

6. Pricing and Final Payments
– Prices are subject to change. Fleur Wedding and Events will make every effort to maintain quoted prices, but they may change based on market fluctuations.
– Final payment for catering, beverages, and room setups must be made 30 days before the event. Failure to pay on time allows Fleur Wedding and Events to charge the authorized credit card on file.
– Minimum spend requirements may apply for certain event spaces or packages.

7. Property
– Fleur Wedding and Events is not liable for any personal goods, materials, or equipment brought onto the premises before, during, or after the event.
– All deliveries and collections must be arranged with the Venue Hire Team. Delivery personnel must follow the instructions provided by the venue.
– Clients are responsible for the safekeeping of their personal items and those of their guests.

8. Cancellations and Date Changes
– Cancellations must be made directly with management by the person who paid the deposit.
– Deposits are non-refundable. In the event of postponement, we will offer a transferable credit valid for up to one year from the original event date. Transferred bookings may be subject to price changes depending on the new date.
– Credits are non-transferable between clients.

9. Guest Entry
– Entry to the venue is only allowed within the agreed event times.
– The venue reserves the right to refuse entry to any guests who do not comply with responsible service of alcohol procedures or venue policies.
– Additional guests beyond the confirmed number will only be admitted at management’s discretion and within the venue’s licensed capacity.
– Minors attending events must be accompanied by a Legal Guardian and must vacate the venue by midnight.

10. Event Conduct
– Event organizers are responsible for ensuring their event is conducted in an orderly manner, and that guests comply with venue policies and legal requirements.
– The organizer must provide accurate information about the nature of the event. If the event is booked under false pretenses, Fleur Wedding and Events reserves the right to cancel the event without refund.

11. External Suppliers and Requirements
– External suppliers must confirm their setup and dismantling times with the venue at least two weeks before the event. Failure to do so may result in additional fees.
– All equipment, decorations, and props must be approved by the venue. Any items deemed offensive or dangerous will not be allowed.
– Suppliers will be granted a two-hour window for setup before the event and a one-hour window for dismantling after the event. Additional setup or pickup time may incur extra charges.

12. Damage and Liability
– Clients are financially responsible for any damage, theft, or vandalism caused by their guests to the venue during the event. A minimum charge of $200 will apply for damages.
– If extra cleaning is required to restore the venue to a satisfactory condition, additional cleaning fees will apply.
– Clients must ensure all goods and personal items are removed immediately after the event. The venue accepts no responsibility for items left behind.

13. Use of Adhesive Materials
– Low-adhesion tapes must be used for adhering decorations to walls or floors. The client is responsible for removing all adhesives after the event.
– Any damage caused by the use of adhesive products will incur repair costs, charged to the client.

14. Safety on the Dance Floor
– For safety reasons, no drinks are permitted on the dance floor. If the dance floor becomes slippery or unsafe, the venue manager may require patrons to wear shoes while dancing.

15. Rehearsals
– Fleur Wedding and Events does not accommodate rehearsals, including ceremony or performance practice sessions.

16. Pyrotechnics and Special Effects
– All pyrotechnics and cold spark displays must be operated by licensed suppliers with valid public liability insurance covering pyrotechnic use.
– Suppliers without the appropriate licenses and insurance will not be permitted to perform pyrotechnic services at Fleur Wedding and Events.

17. Prices Subject to Change
– Prices are subject to change without notice. While we aim to maintain quoted prices, external factors may cause price adjustments.
– Minimum spend requirements may apply depending on the size of the event, room selection, and other factors.

18. Cancellations
– Clients wishing to cancel an event must contact management directly. Refunds are not available on deposits, but a credit may be applied if a date change is agreed upon.
– Credits are valid for up to one year and are non-transferable between clients.

19. Responsible Drinking and Behavior
– Guests must comply with the responsible service of alcohol requirements. The venue reserves the right to refuse alcohol service to any intoxicated guests or those behaving inappropriately.
– For safety reasons, beverages are not allowed on the dance floor. Patrons must follow venue staff instructions if the dance floor becomes unsafe.

20. Force Majeure
– Fleur Wedding and Events is not responsible for cancellations or delays due to circumstances beyond our control, including extreme weather, natural disasters, government restrictions, or any other unforeseen events.
